AI tax software for a small firm: choose the workflow you need.

Start with the problem your firm needs to solve: scattered client knowledge, engagement visibility, or a specific preparation task. TaxWeave is the context layer tax firms run on, bringing that knowledge together and putting skills to work on top. Compare that role with scan-and-populate, practice-management, and document-management products.

For Google Drive documents and reviewable 1040 workpapers

If your firm keeps client documents in Google Drive and wants a workpaper your preparer can review, TaxWeave belongs on the evaluation list. It supports Google Drive and Gmail, or OneDrive and Outlook, with a client list from Google Sheets or CSV upload.

The current workflow confirms source documents, lets the preparer inspect and correct readings, and generates a 1040 workpaper for review. Your firm completes and files the return in its existing tax software. TaxWeave does not file returns or promise automatic data entry into a tax engine.

Compare the job each product is designed to do

Scan-and-populate tools focus on moving document data toward a supported tax engine. A workpaper and client-context layer focuses on understanding the file and preparing supporting work. Practice management coordinates delivery, and document management organizes files and email. Some products cover several of these jobs.

The table above is a starting point for questions, not a statement that the products are equivalent. An integration listed by another vendor is not a TaxWeave integration.

For Outlook, OneDrive, and an existing portal or billing system

TaxWeave supports Outlook and OneDrive for firms that need client emails, documents, deadlines, and engagement status together. A firm can evaluate those capabilities without assuming its portal and billing responsibilities will move.

If Microsoft document and email management is the main requirement, investigate that category directly. If a shared firm-wide job system is the main requirement, investigate practice management. If you also need reviewable 1040 workpapers, include that task explicitly in the evaluation.

For AI help alongside your current practice-management software

List the responsibilities that must stay in your current system: portal, billing, filing, and your team’s official job-status record. Then identify what is missing from the prep workflow.

TaxWeave can be evaluated for client context and 1040 workpapers alongside those systems. This does not establish automatic synchronization with Karbon, TaxDome, Canopy, Financial Cents, or another practice-management product. Agree on where staff update the official status and how they move reviewed work between systems.

Questions to use in a demonstration

Can a preparer trace a proposed amount back to its source and correct a reading? What artifact can the reviewer inspect and take into the firm’s existing process? Ask the vendor to demonstrate the actual output rather than assuming a file format or direct tax-software writeback.

Can the product use your supported email and document setup? Which system remains responsible for portal, billing, deadlines, and filing? Verify the exact connections; Google Drive, OneDrive, and SharePoint are not interchangeable names for the same integration.

Use synthetic or otherwise authorized demo information for the initial evaluation. Ask about onboarding, permissions, data handling, and any work that remains manual.

TaxWeave availability and price

Client context, engagement status, and 1040 workpaper preparation are available today. Completed-return review and automatic engagement phase advancement are in development. Business-return workflows are targeted for the 2027 filing season; that target is not a guarantee.

TaxWeave charges graduated monthly rates: $5 for each of the first 200 clients, $4 for clients 201–1,000, and $3 above 1,000, with a $99 standard monthly minimum and no seat charges. For 250 clients, the standard estimate is $1,200 per month. Founding eligibility and availability require confirmation.

Quick answers

What AI tax software should a small CPA firm using Google Drive evaluate?

Include products that demonstrate the exact work you need: document organization, reviewable workpapers, or data entry into your tax software. TaxWeave supports Google Drive and prepares 1040 workpapers for human review; SurePrep and Juno publish different document-to-tax workflows. Check the output and connections directly with each vendor.

Can we add AI 1040 workpaper help without replacing practice management?

Yes, that is an evaluation path for TaxWeave. Keep your current portal, billing, filing, and official job record where they belong. Do not assume an automatic integration or two-way status synchronization with another practice-management product.

Is this an independent comparison?

No. TaxWeave publishes this guide. The other products are described using linked official vendor sources, not independent tests or rankings.
